Working arrangements: 35 hours. Standard working hours between 9am – 5pm, Monday to Friday. Hybrid working, with a minimum of 6 days per month in the office

The Royal College of Physicians is recruiting an experienced administrator to support the Faculty of Physician Associates (FPA). The FPA sits within the RCP Membership Department and is the representative body for the physician associate (PA) profession in the UK. 

A fast paced and varied role, the administrator will provide administrative support to ensure smooth running of the team and ensuring excellent customer service is provided to its members. Also supporting the line manager in the day-to-day management and development of the faculty. You will also be providing support and administrative duties in supporting board meetings.

Purpose and scope

Key responsibilities

  • Manage the multiple mailboxes and answer queries and provide telephone support to members
  • Process membership applications, review status of applications and check for appropriate documents, manage changes to payment, Direct Debit queries, answering membership related queries
  • Run the monthly benefit stop process
  • Provide an organised back office function, utilising CRM and ensuring all membership data is maintained and updated accurately and in a timely manner
  • Process invoices and create PO through the eRequest system
  • Processing requests for refund for approval
  • Support the FPA manager to develop the FPA membership and deliver PA related projects, activities and events
  • Work closely with the wider FPA team and FPA executive group, board and committees and supporting the administration of arranging and taking minutes
  • Ensuring complex clinical queries are dealt with and where possible draft templated answers
  • Working collaboratively with the RCP assessment unit around the FPA’s PA national examination results and PANE pre-payment scheme
  • Liaising with colleagues across the wider RCP to support FPA related activities
  • Any other duties as may be reasonably expected, and which are commensurate with the level of the post.

  • You are an excellent administrator, used to working in a fast-paced role
  • You have excellent customer service skills (verbal and written)
  • You have experience of using CRM to maintain accurate customer data
  • You are proactive and organised, with a good eye for detail
